EXHIBITOR DISCOUNT OPPORTUNITY
AWAKENING MOMENTS "2012” SPECIAL SAVINGS PROGRAM
Due to the economic swing that we are all experiencing I have sat and contemplated a feasible way to continue to offer great events yet help keep costs down for everyone involved. After long hours of analyzing the situation I have come up with the following plan for “2012” and will extend it into "2013". My goal in this decision is to give everyone an opportunity to achieve their maximum benefit while still allowing me to maintain these events to keep holistic and metaphysical exposure alive in the general communities. I hope that this program will benefit each and everyone of us and bring us into a light of a sharing community that works together for the good of all mankind. Thank you for your patronage of the holistic, metaphysical, and other events that I have been happy to bring to life!

The “Bring the Community In” Exhibitor Discount Program
This program enables an Exhibitor/Vendor to save money on their booth rental fees. It is done through reimbursement. Here are the basic and simple instructions on how to be reimbursed a portion if not all of the exhibitor booth rental fees. Each Exhibitor who reserves and pays in full for a booth space at the specified events held exclusively by “Awakening Moments Productions” will be eligible for this savings incentive. If the registration form for the event is labeled “A BRING THE COMMUNITY IN EVENT” there will be a page of coupons which will entitle patrons of the event to a discount admission rate. Once an Exhibitor/Vendor submits their registration form and are accepted as a vendor, I will email or send a copy of the discount coupon sheet for the exhibitor/vendor to personalize and copy as needed.
The Exhibitors/Vendors will be instructed to:
~ Personalize the coupons on the coupon sheet upon receipt with their information.
~ Make copies
~ Distribute the personalized coupons to their clients, the general public, as well as internet sources or wherever!
NOTE: COUPONS MAY NOT BE DISTRIBUTED ON THE DAY OF THE EVENT ON ANY OF THE PREMISES OF THE SAID EVENT NOR ARE THEY ALLOWED TO BE DISTRIBUTED IN THE PARKING LOT AREA OF SAID EVENT. ANYONE WHO IS FOUND DOING THIS WRONGFUL ACTION WILL BE IMMEDIATELY REQUESTED TO LEAVE WITH NO REFUND. THANK YOU FOR YOUR UNDERSTANDING OF THE NEED TO POST THIS NOTE.
For EACH Coupon that is brought in by the Patron, Visitor of the Event the Exhibitor/Vendor will be reimbursed a total of $1.00 per person who pays the discounted admission fee. Ie: If an Exhibitor/Vendor has a total of 12 people who attend the event and hand in one of the Exhibitor’s personalized discount coupons than at the end of the day the Exhibitor/Vendor will be refunded a total of $12.00( $1.00 x 12 people)!
On the day of the event:
~ The personalized coupon is collected at the Admission Desk as patron enters event.
~ The number of paying attendees utilizing each personalized coupon will be written on the coupon by the Admission Attendant. Ie: if a couple come in with one coupon we will mark the number 2 on the coupon and collect the fee for both attendees.
~The personalized Coupon will be placed in the appropriate Exhibitor/Vendor Bin.
~ The total number of admissions shown on the personalized Exhibitor/Vendor Coupons will be tallied
~ At the end of the day the reimbursement due will be given directly to the Exhibitor/Vendor prior to leaving. If by any chance Exhibitor/Vendor should leave without collecting his/her reimbursement due the total amount will be mailed to the address shown on the registration application within a week after the show date.
General Events presented by Awakening Moments Productions TERMS & CONDITIONS
Terms: Prices shown are actual prices per vendor. Vendor/Exhibitors are subject to 100% payment at time of submitting registration form unless other arrangements are made directly with Angie D'Anjou of Awakening Moments Productions
Cancellation Policy: There is a 50-day cancellation policy for the event. Awakening Moments Productions grants 100% refund of the exhibition booth fee to vendors who provide written notification of cancellation not less than 50 days prior to event date. A follow up phone call is strongly suggested to confirm receipt of cancellation.
Display Signs: Each vendor must keep all displays, banners, products, signs, etc., within the space of the designated booth, which includes a 6-foot table. Attaching anything to the floors or walls is subject to approval by Exhibit management member. Any damage caused to the facility or equipment is the responsibility of the exhibitor/vendor.
There will be a designated table for Raffle & Door Prize items. Vendors/Exhibitors who contribute to the Raffle items will be allowed to place information or business cards regarding their venues upon this table. A Verbal or Written Notification of the intent to contribute must be provided to Fair Management prior to the date of the Fair.
Booth placement will be determined by Presenter/Fair Management. Exhibitors will be notified of any changes that may be required to reconfigure the exhibition hall upon the management's discretion.
Each Exhibitor will receive two Exhibitor Badges for persons staffing their booth, which must be worn during the fair and presented upon reentering the exhibition room. If an exhibitor has more than 1 assistant than each additional assistant will be subject to 50% payment of the general admission fee.
Exhibitors are responsible for all process of monetary exchange at their booth. Exhibitors are responsible for any/all state, local, and Federal taxes.
Music or other Audio/Visuals must get the approval from the management team of the Fair.
There is an additional fee for electricity of $10.00 per table.
Exhibitor assumes all responsibility and agrees to hold show management harmless from any loss, liability, costs or damages arising from actual or threatened claims or causes of action resulting from the negligence or intentional misconduct by the exhibitor, employees, agents, or general public.
Security/Liability: The facility and exhibit management will not assume any responsibility for the damage and /or loss of any merchandise or articles prior to, during or following the fair.
Fire Safety: Exhibitors must comply with all regulations relating to fire safety. Open flames, incense, or aromatherapy diffusion is prohibited. Aromatherapy may be demonstrated within the rented exhibit space. There is no smoking in the facility.
Exhibitors/Vendors are prohibited from any sales of food or beverages. This applies to nonprofit organizations as well.
You may however, bring your own food/beverages or purchase elsewhere. There will be a concession stand available.
The performance of this Fair is subject to acts of God, Government authority, disaster, strikes, civil disorders, or other emergencies, any of which make it impossible or illegal to provide the facilities and/or services for the exhibit. The exhibit may be canceled for any one or more reasons without liability. In this case, exhibit fees will be refunded only after all Fair management expenses have been met.
Awakening Moments Productions reserves the right to determine the eligibility of each applicant to exhibit at the Holistic Fair. This right may be exercised before or during the actual Fair exhibition date.
If Exhibitor/Vendor cancels it participation in the Fair, a 100% refund will be issued if the cancellation is 50 days before the event. After the 50-day limit all cancellations will incur a 100% cancellation penalty. All cancellations are required to be in writing and confirmed by follow-up phone contact.
